Privacy Policy

Last updated: 31 October 2026

This policy explains what personal information Clyde Systems UK ("we", "us") collects, why we collect it, and what we do with it. It covers this website, our adverts on Facebook and Instagram, and enquiries you send us by WhatsApp, phone or email.

We're a small Glasgow business. We collect only what we need to reply to you and to do the work you ask for. We never sell your information.

1. Who is responsible for your information

Clyde Systems UK is the "controller" of your personal information under UK data protection law (the UK GDPR and the Data Protection Act 2018). You can contact us about anything in this policy at [email protected] or on 07405 848028.

2. What we collect

Information you give us. When you fill in our contact form or a Facebook or Instagram lead form, or when you message, call or email us, we collect what you choose to share. That's usually:

  • your name
  • your email address and phone number
  • your business name and what it does
  • what you'd like help with, plus anything else you put in your message

Information collected automatically. When you use this website, our hosting provider records standard technical information in server logs, such as your IP address, browser type and the pages you requested. We use it to keep the site running and secure. Our contact form also uses a scrambled (one-way hashed) version of your IP address to stop spam and repeated submissions.

If you become a client. We'll also hold the details we need to deliver and bill your project, such as your business address, invoices and payment records, and the content you supply for your website.

3. Facebook and Instagram adverts

We advertise on Facebook and Instagram, which are run by Meta Platforms Ireland Ltd. If you fill in a lead form inside one of our ads, Meta collects the details you enter and passes them to us so we can get in touch. Meta may pre-fill parts of the form from your profile, and you can edit or remove anything before you submit it.

Meta's own use of your data, including how it chooses which ads to show you, is covered by Meta's Privacy Policy. You can change your ad preferences in your Facebook or Instagram settings.

If you click one of our ads and land on this website, we receive the same information as any other visit (see section 2).

4. How we use your information

  • To reply to your enquiry and give you a quote. Legal basis: taking steps at your request before entering into a contract, and our legitimate interest in responding to people who contact us.
  • To build, host, maintain and support your website or software, and to send invoices. Legal basis: performing our contract with you.
  • To keep business and tax records. Legal basis: legal obligation.
  • To protect this website from spam and abuse. Legal basis: our legitimate interest in keeping our systems secure.
  • To follow up once or twice about a quote you asked for. Legal basis: legitimate interest. If you tell us you're not interested, we'll stop.

We don't send marketing newsletters, and we don't add you to a mailing list because you enquired.

5. Cookies

This website sets a single cookie, CLYDESESS. It's a session cookie that keeps the contact form secure and is deleted when you close your browser. It's strictly necessary, so we don't ask for consent.

We don't use advertising cookies, the Meta Pixel or third-party analytics on this website. If that changes, we'll update this policy and ask for your consent first.

6. Who we share it with

We share your information only with the services we need to run the business:

  • Our web hosting and email provider, which stores this website, our enquiry records and our email in the UK
  • Meta, if you contact us through Facebook, Instagram or WhatsApp
  • Our accountant, and HMRC where the law requires it, for invoices and tax records

We may also disclose information if the law requires us to, for example in response to a court order.

7. Transfers outside the UK

Meta and WhatsApp may process your data outside the UK, including in the United States. They use legally recognised safeguards for these transfers, such as the UK–US data bridge or standard contractual clauses.

8. How long we keep it

  • Enquiries that don't go ahead: up to 2 years from our last contact, in case you come back to us, then deleted.
  • Client records: for as long as we work together, then 6 years after the end of the financial year our work ended, as HMRC requires.
  • Server logs: kept by our hosting provider for a short period, usually a few weeks.

You can ask us to delete your enquiry sooner; see section 9.

9. Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal information we hold about you
  • ask us to correct anything that's wrong
  • ask us to delete your information
  • object to us using your information, or ask us to limit how we use it
  • ask us to send your information to you, or to someone else, in a common format

To use any of these rights, email [email protected]. It's free, and we'll reply within one month. Some of these rights have limits; for example, we can't delete invoices we're legally required to keep.

10. Keeping it safe

Our website runs over an encrypted (HTTPS) connection. Enquiry records are kept in a private area of our server that can't be reached from the web. Access to your information is limited to the people who need it to deal with your enquiry or project.

11. Complaints

If you're unhappy with how we've handled your information, please tell us first so we can put it right. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk or on 0303 123 1113.

12. Changes to this policy

We'll update this page if the way we handle your information changes. The date at the top shows when it was last changed.
